G.3.3 Deferral Final Examinations


Deferred Final Examinations are timed final examinations scheduled by the Office of the Registrar for students who have missed or are unable to write the scheduled final examinations during the final examination period as defined in the Academic Schedule due to the following extenuating circumstances:

• debilitating illness
• unforeseen crisis
• serious personal hardship
• religious or spiritual grounds
• absence due to university representation or a faculty-approved activity
• three final examinations in 24 hours

In the event of an illness or crisis during a final examination that prevents a student from continuing with the examination, the student must promptly report to the course instructor (or equivalent), submit the incomplete examination, and request the examination be cancelled.

Requests for cancellation of a final examination are not considered once 50 percent of the examination duration has lapsed. Students will be required to provide supporting documentation of the illness or crisis experienced during experienced during the examination. (For more information, see M.1. Serious personal hardships that affect a student’s ability to start of the timed final examination include compassionate circumstances such as the loss of an immediate family member, housing emergencies, traffic accidents or other significant incidents that prevent the student from attending the final examination.

Students anticipating absence from a final examination due to university representation or a faculty-approved activity must promptly inform their course instructor and a faculty advisor if they are unable to attend the scheduled final examination. Students will be required to provide supporting documentation that verifies their participation (for more information, see M.1. Supporting Documentation). Students are responsible for any costs that may be associated with obtaining supporting documentation.

Students who have three final examinations within 24 hours are eligible to request a deferral of one final examination to the deferred examination period.

The application and supporting documentation must be provided no later than two business days after the scheduled timed final examination. Students who do not apply for a Deferred Final Examination within this time period will not be considered for a deferred final examination.

Eligibility to defer a final examination is based on the student’s submission of the online application through the Student Centre.

The authority to approve or deny a deferred final examination rests with the Dean or designate of the Faculty in which the student is registered. The authority to approve or deny deferred final examinations lies within the teaching faculty for graduate students.

Deferred final examinations will not be granted if a student:

  • misses a final exam

  • submits a final exam for marking

  • has personal scheduling conflicts (e.g., travel, work, or events during the final examination period)

  • misreads the exam schedule

  • completes less than 50 per cent of the graded work in a course as indicated by the instructor of record
